Fintura QuickBooks integration
Bill approved time straight into QuickBooks Online, and read back the full payment picture: paid, partial, overdue, viewed, sent and open.
What is the Fintura QuickBooks integration?
Fintura connects to QuickBooks Online so approved time can be billed without anyone rekeying it, and so the state of every invoice raised that way stays visible in Fintura. QuickBooks returns the full status range Fintura reads back: paid, partial, overdue, viewed, sent and open.
A workspace can hold more than one QuickBooks Online company, and every invoice pushed across carries the accounts and tax codes already set up in the company it belongs to.
What syncs, and in which direction
Every row is what the QuickBooks connection does today.
| Data | Direction | When | What happens |
|---|---|---|---|
| Customers | QuickBooks to Fintura | On connect, then on demand | The customer list on the QuickBooks company comes across and is matched to your Fintura clients. |
| New customer | Fintura to QuickBooks | Where a client has no QuickBooks customer | Fintura opens the customer in QuickBooks so the invoice has somewhere to land. |
| Invoices | Fintura to QuickBooks | On push to QuickBooks | Raised in QuickBooks as an approved invoice awaiting payment, not a draft, on your own accounts and tax codes. |
| Invoice status | QuickBooks to Fintura | When you open Invoice History, or click Sync | The whole range comes back, so a part-settled invoice reads as partial rather than sitting as unpaid. The states that come back are paid, partial, overdue, viewed, sent and open. |
| Estimates | Two-way | Push on action, pull on sync | Estimates go across and their state comes back, and turning an accepted one into an invoice links and closes the estimate in QuickBooks. |
| Recurring invoices | Two-way | On user action | QuickBooks recurring invoices are created, edited and removed from inside Fintura. |
| Accounts, tax codes, tax rates and items | QuickBooks to Fintura | When you build an invoice | Fintura reads the chart of accounts and tax codes on that company, so nothing has to be typed in twice. |
| Connection health | In Fintura | On demand, and when a session expires | A lapsed session surfaces on the connection card with a Reconnect prompt, and you can run Test against it at any time. |
How you would use it
Connect from Billing
Billing, then Integrations, then Connect QuickBooks. You authorise from your own QuickBooks account and choose the company this connection covers.
Confirm the customer matches
Fintura matches the QuickBooks customer list to your clients. Confident matches are saved, the rest are staged for you to look over before anything is written.
Raise the invoice from approved time
Mark time entries ready, build the invoice, check the lines, accounts and tax codes, then push. It arrives in QuickBooks approved and awaiting payment, and the time entries are marked billed.
Read the status back
Open Invoice History, or click Sync, and each invoice shows what QuickBooks holds for it: paid, partial, overdue, viewed, sent or open.
What it does not do
- Does not appear on every workspace. The ledger connections live on the Billing page, which is part of practice management rather than something every plan carries.
- Does not tell you whether your client opened anything Fintura sent. Viewed and sent come from QuickBooks' own invoice email tracking, not from Fintura.
- Does not push invoices as drafts. They arrive in QuickBooks approved and awaiting payment.
- Does not update on its own. Status refreshes when you open Invoice History or click Sync, so a payment recorded in QuickBooks reaches Fintura on your next sync.
- Does not pull invoices older than the last 90 days when you first connect.
- Does not sync bills, expenses or bank feeds.
- Does not leave an accepted estimate open once you convert it. Turning it into an invoice links and closes the estimate in QuickBooks.
- Cannot run alongside a different ledger. Connecting Xero, Sage or Zoho deactivates QuickBooks, and Fintura asks you to confirm before it does.

Frequently asked questions.
What South African firms ask about QuickBooks in Fintura.
Yes. Invoices, estimates and recurring invoices go from Fintura to QuickBooks Online, and customers, accounts, tax codes and invoice status come back. Bills, expenses and bank feeds are outside it, so QuickBooks stays the record for everything on the purchase side.
Paid, partial, overdue, viewed, sent and open. That is the full range Fintura reads back, the same as Zoho Books gives, so a part-settled invoice reads as partial rather than sitting as unpaid. The status refreshes when you open Invoice History or click Sync.
It means QuickBooks recorded the invoice as viewed through its own invoice email tracking. It is not a record of whether your client opened anything Fintura sent, and Fintura does no tracking of its own. Read viewed and sent as QuickBooks' account of what happened on its side.
Yes. A workspace can hold several QuickBooks Online companies, each connected separately and each tied to the company you choose when you authorise. All of them feed the same client register in Fintura.
No. A workspace runs one ledger, so connecting Xero, Sage or Zoho deactivates the QuickBooks connection, and Fintura asks you to confirm before it does. Several QuickBooks companies can run alongside each other, which is the case most firms need.
