Fintura Xero integration
Turn approved time into invoices in Xero without rekeying, and see in Fintura whether they have been paid.
What is the Fintura Xero integration?
The Fintura Xero integration is a two-way connection between Fintura and Xero for South African accounting practices. Approved time becomes an invoice in Xero carrying your own account codes, and the payment status comes back to Fintura so a billed job closes itself off.
Contacts are matched to your clients when you connect, and a firm can connect as many Xero organisations as it needs, which is how practices split a VAT-registered book from a non-VAT one.
What syncs, and in which direction
Every row is what the Xero connection does today.
| Data | Direction | When | What happens |
|---|---|---|---|
| Contacts | Xero to Fintura | On connect, then on demand | Your Xero contact list is pulled in and matched against your Fintura clients. |
| New contact | Fintura to Xero | When a client has no Xero contact | Fintura creates the contact in Xero rather than making you do it twice. |
| Invoices | Fintura to Xero | On Push to Xero | Created in Xero as approved and awaiting payment, using your own account codes and tax rates. |
| Invoice status | Xero to Fintura | When you open Invoice History, or click Sync | Xero reports awaiting payment or paid, and the Fintura row updates to match. |
| Quotes | Two-way | Push on action, pull on sync | Draft, sent, accepted, declined and invoiced states are tracked, and an accepted quote converts to an invoice. |
| Repeating invoices | Two-way | On user action | Create, update and delete Xero repeating invoices from Fintura. |
| Accounts, tax rates and items | Xero to Fintura | When you build an invoice | Your chart of accounts and tax rates are read, so the invoice matches how Xero is set up. |
| Connection health | In Fintura | On demand, and when a session expires | If the session expires the card says so and offers Reconnect, and a Test button checks the link whenever you want. |
How you would use it
Connect from Billing
Billing, then Integrations, then Connect Xero. You authorise in Xero and pick the organisation. To add a second, the same button reads Add another Xero.
Review the contact matches
Fintura matches your Xero contacts to your clients. Close matches are saved for you and looser ones are staged for you to confirm.
Invoice from approved time
Mark time entries ready, create the invoice, check the lines and account codes, then push. It lands in Xero approved and awaiting payment, and the time entries are marked billed.
See what has been paid
When you next open Invoice History, or click Sync, anything settled in Xero shows as paid in Fintura.
What it does not do
- Does not appear on every workspace. The ledger connections live on the Billing page, which is part of practice management rather than something every plan carries.
- Does not receive an overdue status from Xero. Xero reports awaiting payment or paid, so those are the two states Fintura shows.
- Does not receive a part-paid status from Xero. Partial payment comes back from QuickBooks and Zoho, not from Xero or Sage.
- Does not push invoices as drafts. They arrive in Xero approved and awaiting payment.
- Does not update on its own. Status refreshes when you open Invoice History or click Sync, not the moment a payment lands in Xero.
- Does not pull invoices older than the last 90 days when you first connect.
- Does not sync bills, purchase orders or bank transactions.
- Cannot run alongside a different ledger. Connecting QuickBooks, Sage or Zoho deactivates Xero, and Fintura asks you to confirm first.
Three steps to connect Xero
- 1
Open Billing
In Fintura, go to Billing, then Integrations, and choose Connect Xero.
- 2
Authorise in Xero
Approve the connection from your own Xero account and pick the organisation.
- 3
Confirm your contact matches
Review the contacts Fintura matched to your clients, then save.

Frequently asked questions.
What South African firms ask about Xero in Fintura.
Yes. Invoices, quotes and new contacts go out from Fintura to Xero, and contacts, quote states and payment status come back the other way. What comes back arrives when you open Invoice History or click Sync, rather than on its own.
Yes. Once one is connected the button reads Add another Xero, and a firm can connect as many organisations as it needs. Practices commonly use this to keep a VAT-registered book separate from a non-VAT one.
No. A workspace runs one ledger family at a time, so connecting QuickBooks, Sage or Zoho deactivates Xero. Fintura asks you to confirm before it does that, so it is never a surprise.
Yes. Fintura reads your chart of accounts and tax rates when you build the invoice, so it arrives in Xero coded the way you set Xero up. A default account code, tax type and payment terms can be set per connection.
Awaiting payment and paid. Xero reports those two, so those are the two Fintura shows. Overdue comes back from Sage, QuickBooks and Zoho, and a partial payment status comes back from QuickBooks and Zoho, but neither is available from Xero.
