Practice management software for a South African accounting firm is priced per user, per month. Fintura's Practice Management starts from R299 per user a month on Essentials, Pro is R499 and Expert is R599, and each person can sit on a different tier. Annual billing gives two months free, and there is no setup fee.

This guide sets out what each tier includes, what a five-person firm pays, the costs a quote often leaves out, and how other practice management tools price, so a firm can compare like with like before it signs up for anything.

How is practice management software priced in South Africa?

Almost every tool an accounting firm shortlists charges per user, per month. The differences are in the detail around that number:

  • The currency. Some tools price in rand. Others price in US dollars, so the rand cost moves with the exchange rate every month
  • What a user's price includes. Some charge one price for everyone; others sell tiers, and put more into the higher ones
  • Whether the price is published at all. Some tools publish their prices; others quote after a call or a demo
  • What comes on top. Setup and migration fees can change what the first year costs

What does Fintura's Practice Management cost?

Practice Management is priced per user, per month, on three tiers. Each tier includes everything in the one before it:

Tier Per user, per month What it adds
Essentials R299 Full workspace management, client management and basic workflow management
Pro R499 Billing integration, timekeeping, and client onboarding forms and automation
Expert R599 Full engagement creation and sending from the platform

Essentials is where the firm's clients and work live. Pro adds time tracking and billing: the time a team records flows into invoices in the firm's own accounting system, approved time can be allocated to an invoice already issued, with any difference recorded as a write-off or write-up, and a monthly Retainer Review shows, for each retainer client, what was agreed, what was invoiced and the time still in work in progress. Pro also adds client onboarding forms. Expert adds engagement letters, created and sent for signature from inside Fintura, and billed straight from the signed letter as a draft invoice or quote.

The time tracking and billing page opens a walkthrough of Pro's billing from the firm's own screen, the quickest way to see what the middle tier buys.

Can each person in the firm be on a different tier?

Yes. A firm does not put everyone on one plan. Each user sits on the tier their work needs: a partner who sends engagement letters on Expert, an accountant who records billable time on Pro, an administrator who manages clients and deadlines on Essentials. A firm pays Expert prices only for the people who use Expert features.

“Fintura App helps manage my practice admin so much. Without it I would have had to run numerous different excel sheets to keep track of deadlines. Highly recommend to anyone in practice or finance management with a group of companies to keep track of deadlines, manage admin and teams. I would not recommend any other platform.”

What does a five-person firm pay?

Take a practice with two partners, two accountants and an administrator:

Who Tier Per month
Two partners, sending engagement letters Expert 2 × R599
Two accountants, recording billable time Pro 2 × R499
One administrator Essentials 1 × R299
The firm R2,495 a month

On annual billing that firm pays R24,950 a year, because a year costs the same as ten months. Practice Management is month to month on monthly billing, so the firm can add a user, move someone up a tier or cancel at any time.

The pricing page carries the calculator, where a firm enters its own team and sees its own figure.

What do other practice management tools cost?

Of the four other tools this guide looks at, two publish their prices and two do not. On the entry plan, per user, as each vendor's own site stated it in October 2026:

Tool Price published Entry plan, per user a month Five users on the entry plan Free trial
Fintura Yes, in rand From R299 (Essentials) R1,495 30 days
DataGrows Yes, in rand From R399 (Starter) R1,995 30 days
Karbon Yes, in rand or US dollars From R549 on annual billing (Team) R2,745 None stated
SmartPractice No Not published Quoted None stated
GreatSoft No Not published Quoted after a consultation None stated

What each one is good at matters as much as the number:

  • DataGrows puts more into its second plan. In Control, at R549 per user, includes billing, CIPC compliance and share registers, audit planning and a SARS connection for IRP6 and correspondence, so a firm that wants one price per person for everything may prefer it. Fintura prices its CIPC and SARS work per company and per taxpayer instead, so a firm pays for compliance only on the clients that need it
  • Karbon is built around collaborative workflow and email inside the practice, with a shared inbox. It now publishes rand prices, so the cost no longer moves with the dollar, and its monthly plans need a team of four or more
  • SmartPractice and GreatSoft are long-established suites. GreatSoft also covers income tax returns. Neither publishes a price, so the figure arrives after a profile request or a consultation

What does it cost on annual billing?

Annual billing gives two months free, so a year costs the same as ten months on every tier. A firm can stay on monthly billing instead; the price per user is the same, only the billing period changes.

What costs should a firm ask about beyond the price per user?

The price per user is rarely the whole first-year cost. Three things are worth asking every vendor on a shortlist:

  • Setup and onboarding fees. Fintura charges none, at any size
  • Migration. A firm with 100 clients or more has the Fintura team move its client base across at no charge. A smaller firm imports its own clients in bulk, and Fintura fills in each company's details from CIPC, so the move is quick to do in-house
  • The contract. Practice Management is month to month: cancel, upgrade or downgrade at any time. Ask any vendor whether a lower price depends on a fixed term

What does the free trial cost?

Nothing for 30 days. The trial covers the whole platform, so a firm can run its own clients through it before paying. When the trial ends, billing starts automatically on the plan chosen at signup, and the firm can cancel at any time during the trial.

What does a larger firm pay?

A firm with 20 or more people is priced through a conversation with the team rather than the list price, because enterprise pricing includes a platform-wide discount and help moving the firm across. The pricing page sets out who qualifies and how to start that conversation.

Practice Management is one of three modules. Compliance and Tax are priced separately and can be added later, when the firm wants its CIPC and SARS work in the same place as its clients and deadlines.

How do the practice management tools compare on features?

Price is one half of the decision. The other is what the software does for a South African firm, such as whether it files with CIPC or only tracks the deadline. Our comparison of the five best practice management software options for South African accountants sets that out tool by tool.
