Fintura Outlook integration
Scheduled client reminders leave from your own Outlook address, and a tenant that requires IT sign-off is cleared once for the whole firm.
What is the Fintura Outlook integration?
The Fintura Outlook integration is an outbound connection to Microsoft that sends your scheduled client emails through your own Outlook mailbox, with the copy filed in your Sent items. Where a firm's Microsoft tenant requires administrator sign-off, Fintura produces a link your IT administrator opens once to approve Fintura across the whole organisation.
The administrator who approves it needs no Fintura account of their own, and approving connects nobody's mailbox to anything.
What syncs, and in which direction
Every row is what the Outlook connection does today. Anything still to come is labelled as on the roadmap rather than left to be assumed.

How you would use it
Clear the tenant once, if it needs it
If your firm's Microsoft tenant requires administrator sign-off, Fintura shows an IT admin approval link on the Connect tab. Send it to whoever runs that tenant, and they sign in with a Microsoft admin account and approve Fintura for the whole organisation.
Connect your mailbox
Email, then Connect, then Connect on the Outlook tile. Once the tenant has been approved the approval screen is gone, and connecting is a sign-in. The signature dialog opens next.
Build the template and the schedule
Email, then Templates, for the wording, then attach that template to a task or a deadline. Fintura fills in the client's details when the trigger fires and sends it from your address.
Watch it on Activity
Email, then Activity, holds every send with the message as it was received. Email, then Admin, shows which of your team still have no mailbox connected against schedules that are set to send from them.
What it does not do
- Does not read your mailbox. There is no inbox sync, no thread history and nothing on the client record showing mail you were sent.
- Does not send everything from you. Scheduled template emails and the test send go through your mailbox, while engagement letters, signature requests, compliance document emails, notifications and digests come from Fintura's own address.
- Does not link the log back to the sent item. Microsoft returns no message identifier on send, so Fintura records that the message went and what it said, without a way back to it in Outlook.
- Does not allow a second mailbox for the same person. Connecting Outlook disables the Gmail tile for that account until you disconnect.
- Does not carry your saved signature across a reconnection. It is cleared each time you connect, on purpose.
- Does not retry a failed send indefinitely. Three attempts, then the dispatch is marked failed with the reason shown on Email, then Activity.
- Does not sync Outlook contacts or Outlook Calendar. Fintura has no calendar connection of any kind.

Check whether your tenant needs approval
Open Email, then Connect. Where your firm's Microsoft tenant requires administrator sign-off, Fintura shows a copyable IT admin approval link there.

Have your administrator approve Fintura once
Your IT administrator opens that link, signs in with a Microsoft admin account and approves Fintura for the organisation. They need no Fintura account, and no mailbox is connected by the approval.

Connect the mailbox and bring your signature
Choose Connect on the Outlook tile, sign in as the person who will be sending, and import your existing signature when the dialog opens.
