Fintura Gmail integration
Your scheduled client reminders leave through your own Gmail, from your own address, and Fintura never reads a word of your inbox.
What is the Fintura Gmail integration?
The Fintura Gmail integration is an outbound connection that sends Fintura's scheduled client emails through your own Gmail mailbox, so a reminder reaches the client from your address rather than from a software vendor. It is deliberately one way: the read permissions were taken out of the Gmail authorisation, so Fintura can send from your mailbox and cannot open it.
Gmail files the copy in your own Sent folder on every send, and Fintura keeps its own record on Email, then Activity, showing exactly what went out and to whom.
What syncs, and in which direction
Every row is what the Gmail connection does today. Anything still to come is labelled as on the roadmap rather than left to be assumed.
| Data | Direction | When | What happens |
|---|---|---|---|
| Scheduled client emails | Fintura to Gmail | When a schedule fires | Fintura resolves the client's contact, renders the template, appends your signature and hands the message to your own Gmail to deliver. |
| Copy in your Sent folder | Fintura to Gmail | On every send | Because the mail leaves through your mailbox, Gmail files the copy itself, so the thread sits where you would go looking for it. |
| Inbound email | On the roadmap | Not available | Fintura does not read your Gmail. The read permissions were removed from the authorisation deliberately, and there is no date for putting them back. |
| Send log | In Fintura | On every send | Email, then Activity, keeps a snapshot of the rendered message, so you can see what a client actually received and why anything failed. |
How you would use it
Connect your own mailbox
Email, then the Connect tab, then Connect on the Gmail tile. You authorise from your own Google account, and Fintura opens the signature dialog straight afterwards, so your sign-off is in place before the first reminder goes out.
Write the template once
Email, then Templates. Write the reminder with {{variables}} for the client name, the period and the due date, so one wording covers the whole portfolio.
Attach it to a schedule
Tie the template to a task or a deadline, for example ahead of a VAT deadline. When the trigger fires, Fintura renders it for that client and sends it from your address.
Check what went out
Email, then Activity, lists every send with the message as the client received it. Email, then Admin, shows which of your team have a mailbox connected against the schedules assigned to them.
What it does not do
- Does not read your Gmail. There is no inbox sync, no client email history and no thread view, and the read permissions were taken out of the authorisation on purpose.
- Does not send all Fintura email from your address. Scheduled template emails and the test send go through your mailbox. Engagement letters, signature requests, compliance document emails, notifications and digests are sent by Fintura from a Fintura address.
- Does not let one person connect two mailboxes. Connecting Gmail disables the Outlook tile for that account, so switching means disconnecting first.
- Does not preserve your saved signature when you reconnect. It is reset to blank every time, deliberately, because signature formatting does not survive a move between providers.
- Does not retry a failed send forever. A failed dispatch is attempted three times, then marked failed with a stated reason on Email, then Activity.
- Does not sync your Google contacts.
- Does not connect to Google Calendar. Fintura has no calendar connection of any kind.
Three steps to connect Gmail
- 1
Open the Connect tab
In Fintura, go to Email, then Connect, and choose Connect on the Gmail tile.
- 2
Authorise from your Google account
Sign in as the person whose mailbox will be sending, and approve the send-only permissions Fintura asks for.
- 3
Set your signature
The signature dialog opens once you are connected. Import the one already on your Gmail account or paste a new one, and it is appended to every scheduled send.
Frequently asked questions.
What South African firms ask about Gmail in Fintura.
No, and it cannot. The read permissions were taken out of the Gmail authorisation on purpose, so there is no inbox sync, no client email history and no thread view anywhere in Fintura. Reversing that would need wider permissions, a reconnection by every member of your team and a fresh Google security review, so treat it as a design decision rather than a gap waiting to be filled.
Your scheduled client emails, and the test send. A reminder tied to a task or a deadline is rendered by Fintura and sent through your own Gmail, so the client sees your address on it. Engagement letters, signature requests, compliance document emails, notifications and digests are sent by Fintura's own system from a Fintura address, which is worth knowing before you tell a client that everything comes from you.
Yes. The message leaves through your own mailbox rather than a vendor's, so Gmail files the copy in your Sent folder itself and the thread sits where you would go looking for it. Fintura keeps its own record as well, on Email, then Activity, with a snapshot of what was actually sent.
No. Each person connects a single mailbox, so connecting Gmail disables the Outlook tile on that account until you disconnect. The reason is practical: when a reminder fires, Fintura has to know without ambiguity which mailbox it is sending from.
Only the people whose address should appear on client email. Mailboxes are connected individually and a schedule sends from the mailbox of the person it is assigned to, so anyone who never appears on client email does not need one. Email, then Admin, lists who is connected alongside the schedules set to send from them, which is where a gap gets caught before it turns into a run of failed sends.
